Duties of GSR's

  1. Committee members are the GSRs for their groups, elected by their groups and are trusted servants of their groups.  A GSR is required to represent the home group at meetings and what will be processed at the next level (area / regional / national) (refer page 11).  As per page 33, the group GSRs:
    • Attend national meetings
    • Carry group conscience from group to national and report on outcomes
    • Notify group of developments, announcements, etc
  2. Outside of the meetings, all committee members:
    • Communicate with enquiries, eg who are looking for a group and/or explain what CoDA is and where information can be found
    • Share National information with the home groups and vice versa. 
    • Always apply the steps and traditions in their duties and in their lives

Keyholder's duties ( Barbara - Rondebosch)

  1. Liaise with facility re meeting dates/times, if required
  2. Co-ordination of venue for extra meetings
  3. Open up and close meeting facility
  4. Payment of rent

Refreshment person's duties ()

  1. Check stocks and buy refreshments for each meeting (using funds supplied by CoDA SA
  2. Set out refreshments before meeting
  3. Clean up after meeting

Chairperson's duties (Trixi - Kommetjie)

  1. Responsible to ensure work assigned to the committee is completed in a timely manner (refer page 10)  This would be by defining goals and develop schedules for accomplishing work
  2. Chairman is the GSR for his/her group, is elected by the group and is a trusted servant of his/her group.  GSR is required to represent the home group at meetings and what will be processed at the next level (area / regional / national) (refer page 11).  As per page 33, the group GSRs:
    • Attend national meetings
    • Carry group conscience from group to national and report on outcomes
    • Notify group of developments, announcements, etc
  3. Chairperson has been voted by committee members in order to chair meetings i.e. to guide the meeting.  No special rights are attendant to being chairman only that he/she takes responsibility for item 1 – the ultimate authority is a loving higher power.
  4. In a meeting, the Chairman must"
    • Run meetings according to the agenda
    • Delegate tasks to role players
    • Follow up with role players on agenda and minuted items
    • Set and adjust time limits around tasks
    • Ensure accuracy of minutes
    • Sign off minutes after each meeting
    • Provide direction and guidelines where needed
    • Maintain and adhere to 12 steps, 12 traditions and 12 service concepts during all meetings
    • Look to the Traditions for guidance, specifically re common welfare and CoDA unity (page 13).
    • Support an outreach programme which carries the message to other codependents who still suffer
    • Report on spiritual, financial and material aspects of  his/her group and national committee
    • Reinforce Service responsibility (page 139) in honouring service
  5. Outside of the meetings, the Chairman:
    • Communicates with callers who are looking for a group or describes what CoDA is and where information can be found
    • Ensure that all outgoing mail is signed by the applicable role player and the chairman
    • Act as spokesperson for the National group
    • Ensure spread of communications i.e. feedback, summaries, direction on aims and objectives, etc be understood by all board
    • When the steering committee becomes formalized into the National, organize the annual AGM, submit a Chairman’s report and arrange financial audit of the National committee
    • Sign off on all annual audit accounts
    • Shares National information with the home groups and vice versa.
    • Chairman always applies the steps and traditions in her/his duties and in her/his life

Treasurer's Duties: (Robyn - Milnerton)

  1. To keep a record of all financial transactions relating to National.
  2. To pay over rent and tea money to Rondebosch GSR on a monthly basis.
  3. To take in and count all donations which come in from all Regional Groups.
  4. To deposit monies into the National PO bank account.
  5. To refund monies that have been ‘lent’ to CoDA National.
  6. To send out a monthly balance sheet of National Finances to be published on the Internet.

Secretary duties:

  1. Typing of minutes of meetings held once a month.
  2. Sending of minutes to each GSR and back up person the National Committee. (done via e-mail)
  3. Typing up of the Agenda for each meeting.
  4. Requesting items for the agenda from GSRs.
  5. Keeping of records of the minutes on file.
  6. Keeping/purchasing of stationery necessary for National.eg: envelopes/ postage etc. (Budget to be drawn up.)
  7. Photostating of any documents when necessary.
  8. The secretary is the GSR of his/her group, is elected by the group and is a trusted servant of his/her group. GSR is required to represent thee home group at meetings and what will be processed at the next level. (area/regional/national)
    1. The group GSRs attend national meetings.
    2. Carry group conscience from group to National snd report on outcomes.
    3. Notify group on developments, announcements, etc.
  9. In the meeting, the secretary must:
    1. Maintain and adhere to the 12 Steps, 12 Traditions and 12 Service concepts during all meetings.
    2. Look to the Traditions for guidance, specifically re common welfare and CoDA unity.
    3. Support an outreach programme which carries the message to other codependents who still suffer.
    4. Report on spiritual, financial and material aspects of his/her group and national committee.
